  1. Identify Communication Type

    • 3P updates (Progress, Plans, Problems)
    • Company newsletters
    • FAQ responses
    • Status reports
    • Leadership updates
    • Project updates
    • Incident reports
  2. Follow Format Guidelines

    • 3P Updates: Progress (what's done), Plans (what's next), Problems (blockers)
    • Newsletters: Company-wide updates, achievements, announcements
    • FAQ: Clear Q&A format with concise answers
    • Status Reports: Metrics, milestones, timeline updates
  3. Tone and Style

    • Professional but accessible
    • Concise and scannable
    • Action-oriented where applicable
    • Appropriate level of detail for audience
  4. Structure

    • Clear headers and sections
    • Bullet points for easy scanning
    • Highlight key takeaways
    • Include next steps or calls to action

Error Handling

  • If communication type unclear, ask for clarification
  • If missing context, request necessary information
  • Adapt format to company-specific preferences
